Your guide to getting married at HSL

Hello! We are so glad you have chosen Historic Shady Lane as your wedding venue. We do not take this honor lightly and love working with each and every couple. HSL is a distinctly unique wedding venue in the Central, PA area; rich with history and surrounded by lush landscaping, buildings and natural beauty. The property is just waiting for you to bring your vision to life and make your wedding day YOURS.

Site Visits: You may schedule a site visit to come back and walkthrough the grounds, greenhouse and tent on your own. This is especially helpful if you booked in the winter and would like to see what the venue will look like in the season you will be getting married in. *These visits must be scheduled with Caitlyn. The tent is only up late April-October.

Engagement Session: All couples are welcome to use the property for a complementary engagement session with their photographer. Reach out to Caitlyn to schedule a date and time for this. 

Final walkthrough: Caitlyn will reach out to you around the 6 month mark to begin scheduling this visit with you and your coordinator. This visit is scheduled in 1 hour time blocks Mon-Thur. We will walk through all the spaces on the property that you will be using on the wedding day, with the exception of the getting ready spaces.

HSL is happy to provide your tables and chairs for ceremony, cocktail hour and reception as well as set up and tear down so you do not have to look outside for rentals, unless you desire a specific style. Linked is an itemized list of our offerings: tables, chairs and the HSL vintage furniture pieces. We do not provide linens. 
*Reminder that no vintage furniture item is promised. We do our best to keep them in good shape, but pieces do occasionally do get broken. These items are a bonus only.

Please include these items on your wedding website and in your invitations. It will prepare your guests on how to enter the venue and the location of parking upon arrival. *Reminder- there will be a parking attendant and a golf cart attendant offering rides to your guests as they get out of their cars.

Event Insurance

You will need to purchase an event insurance policy for your wedding day. Listed are the requirements, pulled from your contract to make it easier along with links to obtain the certificate. This policy is due 30 days prior to your wedding date. 

-General liability insurance: Limits: $1,000,000 per occurrence and $1,000,000 aggregate
-Host liquor liability (if serving alcohol)
-Name Historic Shady Lane, LLC, G. Stephen Kohr, and Sue Kohr as additional insured

Venue Access

Access to the venue and getting ready suites starts at 9am. Vendors have 9am access as well. Everything is same day set up and tear down. Hair and makeup can typically get started at 9:15am.
**Intimate Package has 11am access.
**Micro package has their choice of 6 hour timeframe (access starts during agreed upon contracted time).

You are welcome to bring food and drinks into the getting ready spaces. We do provide cups, plates, and silverware, however no amounts are guaranteed. It is recommended to bring your own disposable dish ware.
If you use any of our dishes, please place them in the sink when finished. HSL staff will wash them at the end of your rental period.
You also have access to a fridge/freezer, oven, sink, microwave, and coffee maker.
There is wifi in both getting ready spaces.

Venue access ends:
Friday + Saturday - music off at 10pm, out by 11pm
Sunday - music off at 9pm, out by 10pm

-HSL provides a 20x20 ft prep space for your catering team with fridge/freezer, prep tables, water and electricity
-Caterers must be full-service
-If hiring a food truck, service must be hired to bus tables, clear trash
-Caterers and bartenders must provide an up to date COI
-Catering and bar staff must remain on-site until all trash has been cleared from tables, bars, etc (until 11pm if needed)
-Catering/bar trash needs to be removed from the property or taken to onsite dumpster
-HSL staff does not transport alcohol or trash via golf carts

HSL can accommodate a max shuttle size of 40 passenger (coach bus). School buses are also permitted. If you have any questions, please contact Caitlyn before booking.
Shuttles can only enter the venue via Board Rd as they cannot cross the small bridge on Shady Lane. This information needs to be communicated to the shuttle driver. It is linked below if you would like it for booking meetings.

DJ
requirements

We have a noise ordinance within our township so DJs are required to hook into our sound system in the reception tent. This ensures we maintain a certain decibel level. We also have a built in sound system at the greenhouse. DJs can use that or their own equipment during cocktail hour. We do not have a sound system at each individual ceremony site. Caitlyn will make sure your DJ has the proper information before arriving at the venue day of, but if you would like to have it prior to booking a DJ it is linked below. 
-We do not allow bands. 
-We do allow string instruments/acoustic duos.

DJ

All flowers should be prepped off-site as we do not have a working area for florists. For any large installations (greenhouse arbor, tent ceiling or chandeliers)- florists are required to return and tear these items down. Florals cannot remain overnight and HSL cannot dispose of any floral trash.

HSL requires that all rentals must be same day drop off and same day pick up. 
HSL staff will not move any rented furniture, tables/chairs, linens, etc. These items must be set by the rental company upon arrival.
